With more competitive contracts, aggressive schedules, and rising costs there is push for killing project cost growth. According to <a href="http://www.ipaglobal.com/">Independent Project Analysis</a> (IPA), complex projects like FPSO conversions and ground-up builds are experiencing a median 15% cost growth. Along with that, these projects are delivered 18% past schedule – which leads to less profit, ugly penalties and cranky clients.</p>

<p>Luckily, there are some relatively painless things that top performers do to get cost growth under control. According to an IPA study, some companies have cut cost growth in half by simply basing cost estimates on well-defined engineering/design, reporting regularly, getting teams communicating, and monitoring cost in a project cost control application.</p>

<p>For example, in an IPA study, projects with poorly defined engineering at authorization were reaching 68% cost growth. When compared to projects with the best practical engineering definition which were experiencing 1-10% cost growth, it was apparent that engineering definition was playing a role in cost growth. As stated by IPA, “Skimp on engineering definition at your own peril.”</p>

While it may be difficult to believe consistent reporting alone can cause a 60% cost growth reduction, it is reasonable to correlate regular and cross-departmental reporting to effective project management practices.</p>
<p>It can be argued that the ability to produce regular, consistent reports is what is impacting cost growth. In other words, the ability to produce these consistent reports indicates quality cost management infrastructure and sound project management practices, which is really driving down cost growth.</p>

The ROI on many applications is astounding if they can reduce the typical cost growth. For example, reducing 25% cost growth to 24% cost growth on a $100,000,000 project would save $1,000,000 dollars. While all cost management software is not created equal, it’s certainly worth looking into.</p>

To do this they employed ProjecTools Documents to house all engineering and technical documents for the pipeline. The remote engineering companies would log into ProjecTools application and execute revisions that came to each engineer as tasks. In these tasks the engineers could download, markup, comment and upload the revised file(s), and submit the task. ProjecTools application returned the work to the document controller who sent the new revision to the appropriate engineering supervisor or manager for review comment and approval. This automated cycle continued until the documents were approved for construction.</p>
<p>Throughout this iterative engineering/design process, managers and supervisors at the contractor company had visibility into the progress and status of each document. They could also pull late action reports from the application to identify the highest performing remote engineers. This reporting allowed them to keep the engineering/design on track and maintain personal accountability for the work that was done.</p>

ProjecTools cost control allowed the contractor to define a WBS that made sense for the project and track project costs against the budget baseline. This process improved accuracy, resource allocation, and reporting for project costs which the contractor identified as issues they faced in the past.</p>
<p>ProjecTools application also allowed the cost control team to track document progress and feed the progress back to ProjecTools Cost Control. With a click of a button, the progress in document manager would sync over to Cost Control, allowing Cost Control to notify Accounts Receivable that billable progress had been made. This simple automation step reduced time spent in progress and status meetings by 70% compared to similar projects by eliminating the use of disjointed spreadsheets, which meant consistently impressing the client with real time progress and status of the project.</p>
